Privacy Policy#

When you use Retentio's website, applications, and related services (collectively, the "Services"), we want you to understand how we collect, use, and share information, and the choices you have. This Privacy Policy explains those practices.

By using the Services, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Services.

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the effective date above. Material changes may also be communicated through the Services or by email where appropriate.

Information we collect#

We collect information in the following ways:

Information you provide to us#

  • Account information. When you register, we collect a username, email address, and password (stored in hashed form). You may also update profile-related information associated with your account.
  • Learning content. We store the decks, cards, facts, media, and other materials you create, import, edit, or study through the Services, including any content you choose to share or publish for collaboration.
  • Communications. If you contact us by email or through our contact page, we collect the information you send, such as your message and email address.

Information we collect automatically#

  • Authentication data. When you sign in, we issue a session token stored in a cookie so you can remain logged in across visits.
  • Preferences. We store preferences such as your selected language and display theme so the Services work the way you expect.
  • Technical and usage information. When you access the Services, our servers may automatically record information such as your IP address, browser type, device type, operating system, referring URLs, pages viewed, and the dates and times of requests. We use this information to operate, secure, and improve the Services.

Information from other sources#

We do not currently offer social sign-in. We may receive limited information from service providers that help us operate the Services, such as hosting or infrastructure providers, subject to their own privacy practices.

How we use information#

We use the information we collect to:

  • Provide, maintain, and improve the Services, including spaced-repetition scheduling, deck management, and collaborative learning features
  • Create and manage your account and authenticate you
  • Store your learning progress, review history, and content
  • Process shared or published decks and related collaboration features
  • Run automated quality and review workflows where enabled, such as AI-assisted deck checks
  • Respond to your requests, questions, and support needs
  • Monitor, detect, prevent, and address fraud, abuse, security incidents, and technical issues
  • Comply with legal obligations and enforce our Terms of Service
  • Analyze aggregated or de-identified usage patterns to improve performance and usability

We do not sell your personal information.

Cookies and similar technologies#

Retentio uses cookies and similar technologies to keep you signed in, remember your language preference, and support core site functionality.

Examples include:

  • Authentication cookie (retentio_token) — used to maintain your logged-in session
  • Locale cookie (locale) — used to remember your language preference

You can control cookies through your browser settings. Disabling certain cookies may prevent some features, such as staying signed in, from working properly.

Theme preferences may be stored locally in your browser in addition to cookies.

How we share information#

We do not share your personal information except in the following circumstances:

  • With your direction. When you share, publish, or collaborate on decks or other content, that content may be visible to other users according to the sharing settings you choose.
  • Service providers. We use trusted third parties to help us operate the Services, such as hosting, storage, email delivery, and infrastructure providers. They may process information on our behalf under contractual obligations to protect it and use it only for the services they provide to us.
  • Legal and safety reasons. We may disclose information if we believe it is reasonably necessary to comply with law, regulation, legal process, or governmental request; to protect the rights, property, or safety of Retentio, our users, or the public; or to detect and prevent fraud or abuse.
  • Business transfers. If Retentio is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy.

Data retention#

We retain account information and learning content for as long as your account is active or as needed to provide the Services. We may also retain certain information as required by law, to resolve disputes, enforce our agreements, or for legitimate business purposes such as security and backup.

If you delete your account or request deletion of certain data, we will delete or anonymize information when we no longer have a legitimate need to retain it, unless retention is required by law.

Security#

We use administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, or alteration. No method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

You are responsible for keeping your account credentials confidential and for activity that occurs under your account.

Your choices and rights#

Depending on where you live, you may have rights regarding your personal information, such as the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Request deletion of your information, subject to legal exceptions
  • Object to or restrict certain processing
  • Receive a copy of your information in a portable format where applicable
  • Withdraw consent where processing is based on consent

You can also manage some information directly in your account settings, such as profile details and learning content.

Children's privacy#

The Services are not directed to children under 13 (or the minimum age required in your jurisdiction to consent to online services). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take appropriate steps to delete it.

International users#

Retentio may process and store information in countries other than the country where you live. Those countries may have data protection laws that differ from the laws of your jurisdiction. By using the Services, you understand that your information may be transferred to and processed in those locations.

The Services may contain links to third-party websites, apps, or services that are not operated by Retentio, such as app store listings. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies.
